Fujifilm Accelerates Content Creation by 91% While Ensuring Security

Good to know: We talked with Douglas, who is one of four Foleon users at Fujifilm. Each user has their own use for Foleon, and the story below only features one of six use cases for the platform.

You've probably heard of Fujifilm in the context of cameras and film before. But Fujifilm also helps doctors and hospitals worldwide by providing better patient care through Fujifilm Healthcare Americas

We've talked with Douglas Young, a digital and creative marketing manager at Fujifilm, about how they manage their content in such a big corporation with over 1500 employees. Since March 2020, Fujifilm (previously called Hitachi Medical System) has been using Foleon to enhance its content distribution and management.

With so many employees, managing and updating content, both internal and external, is tricky, especially after going through a major brand integration with the purchase of Hitachi by Fujifilm in 2021. 

"The challenge that I faced is that there was simply too much content that needed to be updated." 

Douglas explained that he obviously needed a more efficient system.

Keeping content up to date after a merger

When Fujifilm Healthcare Americas merged with Hitachi Medical Systems, they faced the daunting challenge of managing and updating an extensive library of content. The content management system proved to be time-consuming and difficult to maintain. 

With hundreds of pieces of content to manage, Douglas found it hard to keep everything up-to-date. 

"We had a branding update a year ago and limited capacity to do the work. So it took a long time to get done."

A significant part of the problem was the system's lack of ease of use. Douglas reflects on how time-consuming it was: 

"I had known that my previous system was too difficult to maintain because it was time-consuming. For example, if I had to make an update, it would take an hour to do it."

Whenever content needed to be refreshed, Douglas had to manually update each website page one by one with the new, up-to-date PDF file. This multi-stage process made it difficult to keep all materials current and accessible.

"Information needs to always be accurate and updated for the team members utilizing it. In the past, if it was in PDF format, you’d have to remove, update, redistribute, or relink. With Foleon, this is in real-time versus having a multi-stage process to make an edit."

The system was also reliant on Doug, which could have resulted in a bottleneck. As he candidly put it: 

"If I would get hit by a bus, nobody could take it over."

Opting for change

After realizing that his way of updating and creating content wasn't sustainable, Douglas went on the lookout for something new—something that would keep up with all the content Fujifilm was creating and needed to be updated. He explained to us that he had tried a couple of other solutions before finding the right one and even attempted to build his own platform from scratch without any success. He then admitted that Foleon really stood out.

"When I took a look at it and used several different systems similar to Foleon, it really stood out, and I liked it from day one. I recommend it all the time; I've never found a competitor I like better. Plus, it's been very cost-effective for me."

Going from one hour to update a single piece to five minutes, Douglas saved up to 91% of his time, finally being able to dedicate it to other tasks. 

 

Sharing internal information securely yet easily

Fujifilm's emphasis on secure yet accessible information sharing was crucial when looking for a solution like Foleon. When it comes to internal-only pages, Douglas implements a second layer of protection by adding two-factor authentication with Single Sign-on (SSO). This added security measure restricts access to sensitive content only to those authorized, limiting the risk of unauthorized access. It also allows users to access content quickly.

"If we didn't have that extra security, the impact would be fairly significant depending on which pieces. " 

This emphasis on security is driven by the sensitivity of the content being handled. "With two-factor authentication, we add a crucial layer of security to our internal content hubs," Douglas explains. 

"This ensures that only individuals with the necessary authorization can access our most sensitive information, protecting our competitive edge."

This approach safeguards against data breaches and instills trust among stakeholders, ensuring that sensitive content remains confidential and secure. 

 

Embracing speed

One thing that particularly stood out in our conversation was how quickly he's able to create content in Foleon: 

"Just the speed and the quality. The way the tool works and the way you can fine-tune the spacing when the designer in me comes out. It's very nice to work with Foleon because it just makes it easy to put stuff where you want it and the speed at which you can build things. That was important, especially when I'm maintaining hundreds of documents on a site."

While discussing what made Foleon a great fit, Douglas also mentioned mobile responsiveness, which used to be a struggle for him before. He explained that his co-workers were happy with the content they received.

"I get no complaints. It works great on mobile as well as the desktop, which was always an issue before."

 

Finally, he also shared that one of the biggest benefits he gets from using Foleon is being able to support contributors on a level that works for everyone. 

"Before, I wasn't able to support the contributors as much as I wanted to. Strictly because of the time factor involved. So with Foleon, I was able to fully support them to the level that I should have been all along."

 

The smallest of changes can have the biggest impact

Douglas has been working with Foleon for almost 5 years now, and he's seen the platform grow a lot. One of the features he particularly enjoys is the Copy to Clipboard one, which allows him to streamline his processes even more. 

"Ever since you put the clipboard on there, that was a game-changer. Just setting up the pages, dragging columns, and adjusting the spacing is very nice and easy."

 

Douglas shared how pleased he was with the help he got from the Foleon team, whether it was Elyse, his CSM, or the support team. 

"You've always been there and always very responsive. And the whole team has been good to work with."

 

The bottom line

Looking back, Douglas's decision to switch to Foleon marked a transformative chapter for Fujifilm Healthcare Americas. Within a corporation of over 1,500 employees, managing and updating an extensive content library had been a great challenge, especially following their rebranding. The shift paid off significantly. Transitioning from hour-long updates to five-minute tasks, they achieved a 91% improvement in efficiency.
